Privacy & data protection
How CQAD handles personal data.
This notice explains how the Compliance and Quality Assurance Directorate collects and uses information through this website, its surveys and the CQAD Workspace, in line with Ghana's Data Protection Act, 2012 (Act 843).
Who we are
The data controller is Central University, acting through the Compliance and Quality Assurance Directorate (CQAD). You can contact us using the contact form.
Why we collect information
We use information to carry out the University's quality-assurance functions under the Quality Assurance Policy Framework and the Consultancy and Grants Management Policy: evaluating courses and services, monitoring compliance, conducting audits, and registering externally funded projects.
Surveys
Anonymous surveys (course evaluations, the satisfaction survey, service feedback): we record that you took part so we can send reminders and stop duplicate responses, but your answers are stored separately with no link to you. Answers are released in groups of at least five, in random order. No IP address or time of day is stored with an answer.
Confidential surveys (exit, alumni and graduate tracer): if you opt in to the tracer panel, we keep your contact details in a separate restricted list so that we can invite you to later waves. Only the Director of Quality Assurance can link a panel response to a person, and every such access is logged.
Reporting: results are shown only as group totals, internally from at least five responses and publicly from at least twenty. Comments that might identify someone are held back for review and may be redacted.
The CQAD Workspace
Staff who sign in to the Workspace see only the records their University role allows. Changes to quality records are logged with the account that made them.
Complaints data
CQAD receives only a de-identified log from the Registrar's Office (type, campus, dates and outcome). It does not receive names or personal details.
How long we keep information
Quality records are kept for as long as the University needs them for accreditation, audit and GTEC purposes. Survey invitations expire after the survey closes. You may withdraw from the graduate tracer panel at any time.
Your rights
Under Act 843 you may ask to see the personal information we hold about you, ask us to correct it, and object to its use. Anonymous survey answers cannot be retrieved for an individual, because we do not know which answers are yours.
This notice is subject to review by the University's legal office.
